Privacy Policy
This policy explains how Reformed Strategies, LLC ("Reformed Strategies", "we", "us") handles information, including information accessed through AIES 360, the software we operate to run our firm's work. AIES 360 is not offered to the public. It is used by Reformed Strategies and, where a client authorizes it, to work with that client's own accounts.
1. Information we access
When an account owner connects a Google account (for example, a Google Workspace mailbox) to AIES 360, and only with that owner's consent on Google's own sign-in screen, AIES 360 may access:
- Gmail messages, threads, labels and attachments in the connected mailbox;
- the ability to create drafts and send messages from that mailbox; and
- basic account information needed to identify the connected mailbox.
The Google permissions requested are limited to what these features need: reading and organizing mail (gmail.modify) and composing and sending mail (gmail.compose).
2. How we use it
AIES 360 uses Google user data only to provide features the account owner uses directly: showing the mailbox, reading and searching messages through Gmail's own search, replying, forwarding and sending, moving messages between labels and folders, and, when the owner chooses, filing a finished email thread into that client's records.
We do not:
- sell Google user data or any personal information;
- use Google user data for advertising, or to build profiles for advertising;
- use Google user data to develop, improve or train generalized artificial-intelligence or machine-learning models; or
- allow people to read Google user data, except the account owner, or others with the owner's affirmative agreement for specific messages, where necessary for security purposes or to comply with law.
In the current version of AIES 360, Gmail data is not sent to any artificial-intelligence service. If that changes, this policy will be updated first and the account owner's consent will be obtained.
3. Google API Services — Limited Use
AIES 360's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
4. What we store, and for how long
- Message bodies and attachments are not stored by AIES 360. They are fetched from Gmail when opened and held only in memory while displayed.
- Limited message metadata (such as message and thread identifiers, labels, dates, sender and subject) may be kept so messages can be listed, organized and linked to the firm's work.
- When the account owner chooses to file a finished thread to a client's records, a PDF of that thread and its attachments is stored in that client's records and kept under the firm's record-retention practices.
- The access token Google issues is stored only on our server, encrypted, and is never kept on a personal device.
5. Security
Access to AIES 360 requires multi-factor authentication. Data is encrypted in transit and at rest, access is limited to authorized users, and actions are recorded in an audit trail.
6. Your choices
The account owner can disconnect a Google account at any time from within AIES 360, which deletes the stored access token, or by removing AIES 360 at myaccount.google.com/permissions. To ask what we hold or to request deletion, contact us below.
7. Changes
We will post any change to this policy on this page with a new effective date.
